Maintenance Hub Permissions

This article will explain all about permissions and how to use them within Maintenance Hub.

Permissions for Maintenance Hub are controlled the same way as all other permissions within Flight Schedule Pro. Below is a brief explainer on each permission, along with some guidelines for how best to configure them. Permissions can be set in Settings > General > Users > Roles. In addition, an admin can override any given user's permissions.

Work Orders

  1. View Work Orders

    1. Users with this permission will gain access to the work orders module, including viewing work order details. Without it, users will still be able to see work order numbers listed throughout the system, but will not be able to view work order details.

  2. Create Work Orders

    1. Users with this permission will be able to create new work orders.

  3. Edit Work Orders

    1. Users with this permission will be able to edit information about any given work order, including status, name, etc.

  4. Delete Work Orders

    1. Users with this permission will gain the ability to delete work orders.

  5. Manage Logbook Entries

    1. Users with this permission will gain access to create, update, and delete logbook entries.

Work Items

  1. Create Work Item

    1. Users with this permission will be able to create ad hoc work items within work orders or on maintenance reminders.

  2. Edit My Work Items

    1. Users with this permission will be able to edit all fields on any work item for which they are assigned.

  3. Edit All Work Items

    1. Users with this permission will be able to edit all fields on any work item regardless of assignment.

  4. Delete My Own Work Items

    1. Users with this permission will be able to delete any work item for which they are assigned.

  5. Delete All Work Items

    1. Users with this permission will be able to delete any work item regardless of assignment.

  6. Assign Work Items to Me

    1. Users with this permission will be able to assign themselves to any work item in the system.

  7. Assign Work Items to Others

    1. Users with this permission will be able to assign any user to any work item in the system.

  8. Manage Attachments on Work Items

    1. Users with this permission will be able to add or remove attachments on work items.

  9. Manage Work Item Links
    1. Users with this permission will be able to manage links on work items.

Work Logs & Notes

  1. Create Work Logs & Notes

    1. Users with this permission will be able to create new work logs and notes.

  2. Edit My Own Work Logs & Notes

    1. Users with this permission will be able to edit their own work logs and notes.

  3. Edit All Work Logs & Notes

    1. Users with this permission will be able to edit any work logs and notes.

  4. Delete My Own Work Logs & Notes

    1. Users with this permission will be able to delete their own work logs and notes.

  5. Delete All Work Logs & Notes

    1. Users with this permission will be able to delete any work logs and notes.

Time Tracking

  1. Create and Edit My Own Ad Hoc Time Entries
    1. Users with this permission will be able to manually add new time entries to work items and work orders, as well as be able to edit their own time entries created manually.
  2. Create and Edit My Own Timer Time Entries
    1. Users with this permission will be able to start and stop timers, which generate time entries on work items and work orders, as well as be able to edit their own time entries created by timers.
  3. Create and Edit All Ad Hoc Time Entries
    1. Users with this permission will be able to edit all time entries for all users regardless of how they were created.
  4. Delete My Own Time Entries
    1. Users with this permission will be able to delete their own entries regardless of how they were created.
  5. Delete All Time Entries
    1. Users with this permission will be able to delete all entries regardless of how they were created.
  6. Stop All Timers
    1. Users with this permission will be able to stop other user’s timers.

Parts

  1. Manage Part Requests
    1. Users with this permission will be able to create, edit, or delete part requests.
  2. Remove Parts
    1. Users with this permission will be able to document part removals on work orders and items.

Recommended Configuration by Role

The below will give some guidance on how to configure permissions by role. You can tailor these permission settings and adapt them to the needs of your shop, or the personnel you have on staff.

Non-MX Personnel (Scheduling or Dispatch)

The following will enable users to view work order details, but not take any actions on them.

Hangar Helpers

The following will allow non-mechanics to document work they performed, change status of work items, but not make assignments to others or edit work orders.

Mechanic A&P

The following will allow mechanics to document and manage their own work and work orders.

Mechanic IA

The following will enable a mechanic to edit all work logs and also generate logbook entries.

Director of Maintenance

Additional Permissions

In addition to the permissions above, users may need other permissions depending on the level of access and functions you wish to grant to your users.

  1. Company -> Manage MX Hub Settings
    1. Users with this permission will be able to configure MX Hub settings.
  2. Company -> View Work Order Reports
    1. Users with this permission will be able to view reports specific to MX Hub (legacy maintenance reports are protected by the "View Aircraft Reports" permission)
  3. Users -> View All Users & Groups
    1. Users need this permission to make assignments to other users (but not themselves).NOTE: this is not needed unless the user needs to be able to "Assign Work Items to Others".
  4. Resources -> Manage Resources
    1. Users need this permission to be able to edit aircraft, such as adding airframe serial numbers. This is also how you can assign a user as a mechanic. 
  5. Resources -> View Resource Profiles
    1. Users need this permission to be able to view aircraft profiles.NOTE: Resources -> Manage Resources supersedes this permission.
  6. Scheduling - Basic -> Schedule My Own Reservations OR Scheduling - Advanced -> Make Reservations for All Users 
    1. Users need this permission to create maintenance reservations within a work order.NOTE: in either case the maintenance reservation will be created in their name.
  7. Scheduling - Advanced -> Make Reservations for All Users
    1. Users need this permission to view existing maintenance reservations within a work order.
  8. Scheduling - Advanced -> Edit All Users Reservations
    1. Users need this permission to edit maintenance reservations created by other users.
  9. Scheduling - Advanced -> View All Users Reservation Details
    1. Users need this permission to see the status of maintenance on the schedule.
  10. Dispatching & Flights -> Dispatch My Own Flights
    1. Users need this permission to be able to check out/in maintenance reservations that they create.
  11. Dispatching & Flights -> Dispatch All User Flights
    1. Users need this permission to be able to check out/in maintenance reservations that other users created.NOTE: this supersedes Dispatching & Flights -> Dispatch My Own Flights.
  12. Aircraft Squawks
    1. Set appropriate permissions for your users to effectively be able to manage squawks.
  13. Aircraft Maintenance
    1. Set appropriate permissions for your users to effectively be able to manage reminders
